Contents of Rent Receipt Excel Template
This template consists of 3 sheets: Tenant Ledger, Rent Receipt and Printable Rent Receipt.
Tenant Ledger
At the top, insert the name of the landlord and his PAN No. or TAX number.
This is the main sheet of all three sheets in this template. This sheet consists of 3 sections: property details, tenant details, and receiver’s details.
Property detail section consists of the following heads:
Receipt No: This cell incorporates a predefined custom format, automatically generating a receipt number with a predetermined prefix upon data entry.
Date of Receipt: The date on which the rent payment was received.
Property No: A unique identifier assigned to the rental property.
Property Address Line 1 & 2: The physical address of the rental property, spanning two lines for comprehensive capture.
Type: The classification of the rental property (e.g., godown, factory, row house, shop, bungalow).
Tenant & Rent details section consists of the following:
Monthly Rent: The amount of rent due per month for the respective property.
Tenant’ Name: The full name of the tenant occupying the rental property.
Rent From and To: The start and end dates of the rental period for which the payment is being made.
No. of Months: This cell is automatically populated, calculating the number of months covered by the rental period.
Total Rent: Similarly, this cell is auto-calculated, displaying the total rent due for the applicable months.
Rent Received: Users can manually enter the amount received from the tenant, accommodating scenarios where tenants may pay less or more than the expected amount.
Balance Amount: This field dynamically calculates and displays any outstanding balance, taking into account the rent due and the amount received. If the payment is equal to the expected rent, the cell will display “NIL.”
Mode of Payment: Users can specify the mode of payment (e.g., cash, cheque, demand draft, NEFT, IMPS, UPI).
Cheque/DD/UTR/Transaction No: Depending on the payment mode, users can input the relevant details, such as cheque number, demand draft number, or transaction ID.
Dated: This field is primarily applicable for cheques and demand drafts but can also be used to record transaction dates for other modes of payment, such as NEFT.
Receiver Details section consists of the following:
Receiver’s Authority: Title of the receiver. It can be any of these; solicitor, landlord, manager, trustee, etc.
Receiver’s Name: Enter name if and only if it is different from the landlord.
Payee’s Name: This field is applicable only when the payee is other than the tenant himself. Insert their name.
Rent Receipt
The Rent Receipt sheet is designed for efficient receipt generation. Users need only enter the receipt number, and the template will automatically populate the relevant fields by retrieving the corresponding data from the Tenant Ledger sheet. This streamlined process ensures consistency and accuracy in the issued receipts.

Printable Rent Receipt Format
For those who prefer to issue handwritten receipts, the template includes a dedicated Printable Rent Receipt Format section. Users can customize this section by changing the company name and logo to align with their branding requirements.
