How To Use Student Fee Collection System Excel Template?

School Fee Management Template consists of 4  sheets.

1. Index and Summary
2. Fee Receipt (Class-wise)
3. Fee Pending (Class-Wise)

1.  Index And Summary Sheet

Index Sheet is the first sheet of this template. In this sheet, you need to enter data in only 3 fields:

1. Academic Year i.e. A.Y.
2. Class & Divisions
3. Total Fee Amount Per Student for each class.

Note: Insert data in light blue colored cells only. No data to be entered in cells with navy blue color as they contain cell references and formulas.

This template is designed for 30 classes. In case, the classes are less than 30; leave it the rest blank.

Light green cells indicate cell with links. Click on the class name and it will navigate to the cell from where the respective class data needs to be filled.

This sheet also displays the class-wise current status/summary of the total fee collectible, the fee collected till date and outstanding fee.

All the data is fetched automatically from the sheet as they are linked with cell references. Don’t delete any data in dark blue cells. It will remove the cell references and totals will mismatch.

Lastly, the difference column is given for checking the accuracy. If there is a difference, it denotes that any entry is missed out or not taken in subtotals.

2. Fee Receipt (Class-Wise)

This sheet has been made for 30 classes each having a strength of 60 students. You need to enter class-wise student’s roll number and name.

Details like class, division, class fee and academic year are derived automatically from the Link and Summary Sheet.

As and when admin receives any fee amount from students,  makes the entry against respective class and student’s name.

For ease of maintaining receipt details, you can add a comment in each cell along with the date of receipt and its respective receipt number.

Hence, as and when required you can look for the date of receipt and receipt number or such other details by simply moving the pointer to that respective amount.

Throughout the academic year, the admin enters the amount against each student as and when received from them.

The last column displays the outstanding amount against each student. You can view and convey as and when required.

This sheet contains fee receipt data also. So when the admin will try to print the class-wise fee outstanding report, he has to cells. Thus, a separate sheet has been created to display and print the class-wise outstanding report.

3) Fee Pending (Class-wise)

Similar to Fee Receipt sheet, Fee Pending Sheet also consists of 30 classes each having a strength of 60 students.

This sheet will directly display a report of pending fee of all students of each respective class. In case, someone paid in full then it will display 0 (Zero).

On top-left it will display class and academic year and on top-right if will display total outstanding of that particular class. This report is meant for viewing class-wise & student-wise outstanding at any time.
